Tax & Accounting Maintenance.
Once we have helped you implement your tax and accounting strategies, we go into proactive maintenance mode. We work with you to identify an ongoing relationship that ensures you have the right tools and resources at your fingertips to run a healthy business and make educated financial decisions.
We continually monitor and find all the changes that affect you and help you prepare yourself and your business. Because our maintenance plan starts with your goals, they form the basis of the ongoing tax and accounting services you need.
Nine ongoing services.
Most clients move into maintenance after the initial advisory engagement. Bundle, mix, or scale based on what your business actually needs.
-
Monitor Current-Year Tax Plan
Quarterly check-ins on the strategy we wrote together — what changed in your business, what changed in the tax code, and what we adjust before year-end.
-
Multi-Year Tax Projections
Forward-looking projections two-to-five years out so big decisions (a sale, a hire, a real-estate purchase, a Roth conversion) get evaluated against future tax positions, not just today's.
-
Up-To-Date Accounting Records
Monthly close of your books so the data underneath every decision is current and reliable. We reconcile, categorize, and review so you do not have to.
-
Business Tax Preparation
Federal and state business return preparation (Form 1120, 1120S, 1065 as applicable), informational returns, and the K-1s your owners need.
-
Personal Tax Preparation
Form 1040 preparation for owners and their families, integrated with the business return so the two are coordinated rather than reconciled at the last minute.
-
Payroll Processing and Tax Reporting
Payroll runs, federal and state withholding, quarterly 941s, annual W-2s and 1099s — including the owner-compensation calls that follow from the advisory plan.
-
Phone Calls
Bundled into the monthly fee, not metered. When a question or decision comes up, you call your advisor and get an answer.
-
Meetings
Quarterly review meetings, plus ad-hoc working sessions when something material is in motion (a sale, a financing, a tax-position decision).
-
Accounting Software Assistance
Help inside your accounting platform — cleanup of categorization, app integrations, payroll setup, reporting templates — so the system actually serves your business.
Before you engage maintenance services.
What does a typical monthly fee cover?
For most clients, the flat monthly fee bundles bookkeeping, tax-plan monitoring, payroll, year-end business and personal returns, and unlimited phone calls and meetings. The exact mix depends on what your business needs — we quote a specific fee after the Strategy Session.
Do I have to use your bookkeeping if I engage you for tax?
No. We can work with your existing bookkeeper or internal team. We do find that engagements work best when one team holds the books and the tax plan together, because it eliminates the gap where surprises live.
How are quarterly tax estimates handled?
Estimates are calculated against the live multi-year projection, not last year's safe harbor. We adjust as the year develops, which usually means smaller end-of-year surprises and tighter cash management.
